Position: Expat Housing Co-ordinator
Location: Mumbai
Reporting to: Manager - Admin
Criteria: Any Graduate with min 3+ years relevant experience into Expat Management, Housekeeping & Facility Support.

Responsibilities:
Pre assignment
- Apartment selection through empaneled brokers as per preferred location of the Expat
- HSSE assessment electrical, fire audits and safety checks for the apartment and building premises
- Rent negotiation and registered Leave and License agreement
- List of assets and white goods included in LOI
- HSSE mandatory requirements like Fire extinguishers, smoke detectors and fire blankets provided
- Liaison with Logistic or Move management agency for Air cargo or Shipment
- Coordination with IT team at BKC office for IT requirements or assets, Wi-Fi.
- Look See visits and City familiarization on request
- Check on Citi Card, Club Membership, Office access card and company vehicle with DDT trained driver
- Assist in sourcing Domestic Help and getting the Health Checks done
- Expat Data to be updated on SharePoint
On assignment
- Expat apartment L& L agreements tracker
- Liaising with Domestic Help or Expat directly for complaint resolution
- Activity Tracker for complaints and resolution with timelines to be maintained
- Coordinate with OCS – service partners for the services
- Getting comparative quotes for activities exceeding 1K
- Supervise vendor activities personally at the expat apartments
- Check for AMC of equipment’s as applicable,
- Consolidated Monthly Invoice to be checked/ verified along with cost approvals of Admin Manager
- Invoice tracker to maintained in share point
- Coordinate with PM teams for the residential societies.
- Arranging of staff from office for expat apartment HK as and when required
- Coordinating with service partners at Clefepete in case of events/ functions
- Visit to markets to source out requirements at Clefepete and share quotes for approval
- Connecting with Admin Manager to understand on cost and payments directly reimbursed by the Expat
- Track payments for Expat apartment utilities
- Pest control of apartments
- Deep cleaning of apartments
- Repairs and maintenance as required
Repatriation
- Notice to Landlord for closure of the Tenancy agreement.
- Inspection of the apartment prior to Expats departure
- Checklist to be updated and Verification of company and Landlord assets completed
- List of assets and white goods included in LOI tallied and checked for damage or snags
- HSSE mandatory requirements like Fire extinguishers, smoke detectors and fire blankets provided need to be listed and returned to BKC Office
- Liaison with Logistic or Move management agency for Air cargo or Shipment as required
- IT requirements or assets, Wi-Fi handed over to IT team at BKC office
- Citi Card, Club Membership, Office access card to be returned to BKC office
- Closeout of apartment handover with landlord or representative post repatriation,
- Coordination with landlord or PM team for snags rectification or cost estimate for repairs prior to handover
- Refund of Security deposit.
- Final meter readings to be taken for Electricity meters, gas consumption, broadband , Wi-Fi and landline phones and surrender to the agency if provided by Company
- Keys Handing over to the Landlord
- Repatriation Checklist to be updated
