Position: Site Coordinator

Location: Pune( Koregaon Park)

Reporting to: Business Head & GM

Criteria: Any graduate with 3+ years of experience in an administrative role, preferably in an MNC environment

Knowledge and Skills: 

  • Excellent verbal and written skills. 

  • Must maintain a high level of discretion and confidentiality. 

  • Must be detail oriented, accurate, reliable, and organized. 

  • Strong attention to detail, customer focus, problem solving, time management and desire to deliver service of the highest quality 

  • Comfortable with technology including searching and retrieving information from the internet and intranet.

  •  Ability to learn, work independently and handle multiple tasks with efficiency and effectiveness. 

  • Familiar with standard concepts, practices, and procedures within the administrative field.

Job Profile:- 

  • Perform assigned administrative duties with a minimum of supervision; interact effectively with management, supervision, officials, and employees. Learn to adapt to new technology as it relates to office practices and procedures. Always maintain confidentiality of information, pay attention to detail, and work effectively despite interruptions. Internet research abilities and strong communication skills.

Job Responsibility:

  • List in order of importance the duties and responsibilities of the job. Identify what is done and how it is done.

  • Indicate the percent of time spent weekly on each responsibility. Do not include responsibilities that require      

  • General administrative duties such as faxing, database queries, sorting mail, phone coverage, ordering office supplies, picking up packages, meeting coordination, composing correspondence, presentation development, global teleconferences and video conferences, miscellaneous filing, make arrangements for visitors & oversee housekeeping, car rental arrangement, travel arrangements & hotel reservations for employees and foreign visitors etc.

  • Coordination in completion of joining formalities and pre-employment medical tests for all new employees. Maintaining the Leave Management System for the office employees

  • Create and modify presentations, take minutes, prepare contracts, correspondence, maintain files, including records retention (hard and electronic copy) often of a highly confidential nature Interface with facilities services, IT, third party vendors/contractors. Prepare expense reports

  • Support in Managing Basic HR systems
