Position: Executive Assistant to CEO

Location:Navi Mumbai

Criteria: B.B.A with 1+ year of exp in Executive Assistant or in a similar role

Job Purpose: 

  • The Executive Assistant to the CEO plays a key role in ensuring the efficient operation of the CEO's office. 

  • This position requires a high level of professionalism, discretion, and organizational skills. 

  • The EA to CEO will manage the CEO's schedule, handle communications, and provide administrative support to optimize the CEO's productivity and effectiveness.
     

Job Responsibilities:
Calendar Management:

Efficiently manage the CEO's schedule, including meetings, appointments, and travel arrangements.

• Prioritize and coordinate commitments to ensure the CEO's time is used effectively.

Communication Management:

Act as a liaison between the CEO and internal/external stakeholders.

• Handle and filter phone calls, emails, and messages, responding to routine matters and forwarding important issues to the CEO.

Travel Coordination:

Plan and arrange all travel logistics for the CEO, including flights, accommodations, and  ground transportation.

• Prepare itineraries and ensure the CEO's travel needs are met.

Documentation and Record Keeping:

Maintain and organize important documents, files, and records related to the CEO's work.

• Draft, edit, and proofread correspondence, reports, and presentations as needed.

Meeting Support:

Schedule, prepare materials for, and coordinate meetings, conferences, and other events.

• Attend meetings when required and provide follow-up support, such as minutes and action items.

Confidentiality:

Handle sensitive and confidential information with the utmost discretion and maintain a high level of confidentiality.

Task Delegation:

Assist in delegating tasks and projects to appropriate staff members, ensuring follow-up and completion.

Project Support:

Support the CEO in special projects, which may include research, data analysis, and presentations.

Team Coordination:

Collaborate with the CEO's executive team and other department heads to ensure smooth operations and communication within the organization.

Office Management:

Oversee the CEO's office, including supply management, office organization, and related administrative tasks.
