Position: Front Office Executive

Location: Navi Mumbai

Reporting to: Senior Manager-HR

Criteria: Any Graduate with 2+ Years of experience in the front office, Travel Management, administration 

Job Objective:

To manage the front desk operations, handle inquiries, and provide administrative support to various departments.

Job Responsibility  :

Reception and Welcome:

  • Greet and welcome visitors in a professional and friendly manner.

  • Manage incoming calls and direct them to the appropriate person or department.

  • Maintain a neat and organized reception area.

Visitor Coordination:

  • Register visitors entries.

  • Ensure that visitors are appropriately informed and directed.

  • Manage the issuance of visitor badges.

Communication:

  • Handle all incoming and outgoing communications, including emails and phone calls.

  • Provide information to callers and visitors, and address inquiries promptly.

Administrative Support:

  • Scheduling of directors official meetings.

  • Assist in various administrative tasks, such as data entry, filing, and document preparation.

  • Coordinate with other departments to ensure smooth office operations.

  • Coordination Support to HR Department, Accounts & IT Department.

Appointment Scheduling:

  • Schedule appointments and maintain calendars for meeting rooms.

  • Coordinate meeting logistics, including catering and equipment setup.

Mail and Courier Handling:

  • Receive and distribute mail and packages.

  • Arrange for courier services as needed.

Maintain Records:

  • Keep records of visitors and calls for reference.

  • Maintain an updated contact list of employees and external contacts.

Travel Arrangement:

  • Employee’s ticket booking air ticket, hotel bookings and visa documentation for overseas visit of director and employee.

  • Tracking of Employee Birthday list and sending greeting cards and arranging gifts if any.

Vendor Management:

  • Coordinate with vendors for office supplies and other services.

  • Keep track of inventory and order supplies as needed.
